About the Role

Under the direct supervision of the Secretary-General, Canadian Commission for UNESCO, the Administrative Coordinator:

  • Provides overall administrative coordination for the work of the Commission and administrative support to the Secretary-General and to the office of the Secretary-General;
  • Oversees operational functions including financial tracking, budget coordination, and procurement processes, ensuring alignment with organizational policies;
  • Coordinates the flow of document production;
  • Tracks and provides status reports on inquiries received by the Commission;
  • Plays a coordinating and supervisory role in the work of four Administrative and Program Assistants;
  • Coordinates internal and external administrative liaison for the Commission;
  • Coordinates activities including the preparation of documents and logistics for the Annual General Meetings and Executive Committee meetings;
  • And performs other related duties. 

Education

  • Two (2) year college diploma preferably in office administration or an equivalent combination of education and professional experience related to the responsibilities of the position.

Experience

  • Five (5) years of experience in the administrative support field including two (2) years of supervisory experience. 

  • Previous experience with senior management would be an asset.

Knowledge

  • Knowledge of the Canadian Commission for UNESCO’s mandate.
  • Project management knowledge.

Skills & Competencies

  • Ability to adapt to different stakeholders at senior levels.
  • Experience in budget management or accounting.
  • Ability to use Windows applications, office equipment (photocopier, videoconference, teleconference etc.) and related software.
  • Solid initiative, prioritization, organizational, interpersonal and supervisory skills.
  • Attention to detail and high level of accuracy.
  • Demonstrated high level of tact, discretion and judgment along with excellent communication skills.
  • Demonstrated abilities of time and project management.

Bilingual Requirements

This position requires the use of both official languages. The requirements in the second official language are:

  • An advanced level in reading comprehension (C).
  • An intermediate level in writing (B).
  • An advanced level in oral (C).
